January is the ideal time to put in place the necessary changes to get the most out of your business and ultimately increase productivity.

Here are 8 more fool-proof tips to help you save yourself time and increase the output of your business.

1. Let technology work for you. During times when you need to concentrate on a specific project for a long period of time, don’t think twice about switching your voicemail on, or requesting colleagues and clients to email you instead. You may be in demand; but it’s important to sort your priorities out first and use your time wisely.

2. If you send out the same blank forms, the same types of invoices, statements, proposals descriptions of your products or services; don’t produce them from scratch each time, create a template for each one instead.

3. Cut down on the amount of time spent travelling from one appointment or job out of the office to another, by arranging them all to take place in one day or over the course of two, or if it’s just one – schedule it for the end of the business day, rather than at peak time during the day.

4. Become a proficient user of email. Whichever email program you’re currently using, learn a few key steps in your program, particularly how to set up files and filters. You’ll discover how much faster it makes finding email messages. Your email address book can also be utilised to categorise various email contacts you email frequently.

5. How ergonomic is your workspace? Give some thought to how well your workspace works for you. Are you constantly searching for files, letters, notebooks or diaries? Not only is this frustrating, it’s also a huge waste of your valuable time. Check that the phone is in the best possible place for you and that most of the equipment that you will need on a day-to-day basis is within easy reach of your desk (preferably without getting out of your chair too often). Making your working area work for you, will allow you to work efficiently, in comfort, safely and increase your productivity.

6. Start work at the same time each morning; instead of wasting time by beginning at irregular hours each day.

7. Try to use the last 10 – 15 minutes of your working day to put together a strategy of work for the next day. Do the same on the last day of your working week for the coming week. Spend ½ a day planning for the following month and one whole day to map out a scheme of work for the next 90 days in your business. In the scheme of things, this time spent planning is crucial and will yield great results in terms of making progress in your business, in the time you have available to you. You may not achieve everything you plan to on a daily basis – but unless you put some time aside to work on your business; even less will be achieved without a guide of some sort.

8. When time is short, ensure you send out automatic email acknowledgments so that senders are aware you’ve received their messages and confirm you will respond as soon as possible.
